Job description

The Finance & Admin Manager is expected to drive best practices in finance, administration and human resources management within the organization to maximize efficiency and growth. This is a great opportunity to join an exceptional team within a rapidly growing business in Berlin.  This is a part-time position. Knowing English and German are necessary. Main responsibilities: Financial Management: ·       Ensure efficient financial monitoring and reporting; investor reporting ·       Prepare invoices for clients and resolve any billing issues; ·       Handle process for accounts payable and accounts receivable in preparation for the accountant;quarterly interim statements ·       Support/preparation for annual financial statements ·       Focal communication point with accounting company ·       Make sure tax reporting obligations are timely fulfilled Business/Company Management: ·       Contract management (legal background helpful), write project descriptions, deliverables and pricing ·       Invoice management ·       Issuing invoices based on contract terms and services delivered (to be confirmed by people working in the projects as well as standard recurring deliverables) ·       Matching with incoming payments ·       Reminders ·       Managing grant applications: drafting, data collection and delivery ·       Prepare Board Meeting minutes; ·       HR contract management and filing ·       Track progress and handling of registrations ·       Shareholder registration and handling of contracts regarding onboarding new shareholders ·       Company house filings ·       Rental contracts and day to day housekeeping Support to CFO: ·       Monitor/remind CFO of important dates / deliverables ·       Attest strategic task management preemptively rather than urgently ·       Travel booking, expense management About you: ·       University degree in finance, legal, management or equivalent ·       Minimum 5-years experience ·       Experience with grant management ·       Advanced knowledge in Excel and financial systems ·       Strong oral and written communication skills in English and and German ·       Experience working in the financial sector is highly valued ·       You are analytical, organised and structured with an eye for detail.  You have the ability to work independently and to take initiative. ·       You enjoy constantly planning, predicting and solving upcoming problems to reach deadlines, and facilitating team collaboration to make sure things get delivered on time. ·       You will be dealing with confidential and sensitive information and it is important that you are able to handle it with integrity and responsibility.
